Time and task management is an area I get asked a lot about. We are always looking at ways to be more efficient and productive, to get the most out of our time. ⏱
Time is a precious resource so we have to use it wisely and emails can really zap away the hours if we are not careful.
First make sure you follow email etiquette of using the TO and CC line appropriately and encourage others to do so too, as this will help.
Try to only check emails 3 times a day and avoid getting sucked into every ping and notification. 👀
Using the 4Ds can help you wade through your emails and take action.
🔹 Delete – get rid of anything you do not need. Once it is read if you do not need to keep it, get rid of that too. Also unsubscribe to stuff you are not interested in! 👎
🔹 Do – take action when you need to. Respond and dealing with urgent or important stuff. 📩
🔹 Defer – If you don’t have the time to respond or it isn’t urgent then defer it and pick it up when you have more time or its fits in with your allocated email time. 📧
🔹 Delegate – if you have a team or support network can this be delegated out. Do you need to deal with, if not pass it on. 👉
